Must possess a high school diploma or equivalent, supplemented by appropriate business courses and/or relevant workshops or training to enhance skills.
Must possess a valid Department of Public Safety IVP card.
Must possess excellent skills in secretarial techniques.
Must possess a thorough knowledge in the use of office machines, computers, and Microsoft Office Publications (Word, Access, Excel, and PowerPoint), and Google Suite.
Must possess a minimum of five years secretarial experience, preferably working in a school district setting.
Must possess a loyalty to the school district and its philosophy.
Must possess an ability to deal effectively with matters of confidentiality.
Must possess a pleasant personality and telephone manner.
Must possess an ability to work cooperatively with parents, students, staff and the community.
Must have ability to use or to learn to use student information system software as well as other software necessary for District student and state and federal reporting systems and software.
Formal (written and spoken) knowledge of Spanish is required.
Duties and Responsibilities:
Maintains punctual and regular attendance.
Records meeting minutes and handles a variety of correspondence, reports, and other materials for the administrative office pertaining to parents, students, and staff.
Maintains appropriate files as required.
Performs a variety of clerical duties in providing assistance to the Director of Federal Programs and the Director of Curriculum and Instruction as needed.
Must keep abreast of current trends in Federal Programs Grants, ELL programs and technology resources and skills for the position.
Completes and maintains all documentation related to English Language Learner program and coordinates AZELLA testing – yearly, new student, and monitored students.
Coordinates deadlines and due dates obtained from ADE in the completion of ELL programming.
Orders necessary supplies and inputs purchase requisitions.
Prepares a variety of fiscal, statistical, program and student tracking reports.
Assists with scheduling and organization of training sessions.
Participates in local meetings or workshops at ADE when requested.
Generates statistical charts/graphs for various state reports, and for use by site principals and District Office.
Maintains confidentiality of information regarding students, staff, parents and school issues.
Provides a welcoming atmosphere for students, staff, parents and community.
May be required to travel to school sites or training sessions and conferences and occasionally work outside of normal working hours to support school functions.
Performs responsibilities in an ethical and professional manner.
