    JOB DESCRIPTION: Coordinator

    TITLE: Procurement Coordinator FTE: 1.0

    FLSA STATUS: Exempt HOURS PER DAY: 8

    WORK CALENDAR: 260-262 days

    COMPENSATION: Classified Exempt Compensation Guide (Starting Salary: $54,262)

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    1. Review and process requisitions and determine the most appropriate method of procurement, districtwide

    2. Develops and maintains the District Vendor List and bid files

    3. Works directly with Business Services in developing and executing Request for Quotations, Invitations for Bids, and Request for Proposals in compliance with the Governing Board Policy and State procurement laws

    4. Assists with bond and special projects

    5. Develops and maintains warehouse processes, procedures, and schedules for site delivery and mail throughout the District

    6. Participates in the District’s Records Management system in storing, locating and disposal

    7. Interviews suppliers to stay current with product knowledge for school related equipment, materials, services, and suppliers

    8. Supervises Procurement Technician and coordinates duties for an efficient business operation. Interviews, screens and recommends personnel for employment

    9. Supervises and trains new employees

    10. Work with other departments to ensure certain projects are accomplished

    11. Ability to quickly analyze and resolve specific problems

    12. Provide information concerning school policies, procedures, actions, activities, and schedules as appropriate

    13. Maintains appropriate files as required

    14. Maintain confidentiality of information regarding students, staff, parents and school issues

    15. Provide a welcoming atmosphere for students, staff, parents and community

    16. Perform responsibilities in an ethical and professional manner

    17. Maintain punctual and regular attendance

    18. Perform other related duties as assigned

    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

    To perform the job successfully, an individual must be able to perform each essential duty satisfactorily. The qualifications for this job description are representative of the knowledge, skill and/or ability required

    Education / Certificate

    1. Must possess a high school diploma or equivalent and Associate Degree in Business or Finance desired

    2. Must have and maintain a valid IVP Arizona Fingerprint Clearance Card

    Experience

    1. Knowledge of applicable purchasing regulations and practices in a public school district business environment preferred

    2. Possess general knowledge of warehouse practices, procedures and warehouse management or closely related work experience that includes supervisory or lead role

    3. Working experience as a procurement specialist, buyer or similar position in a public school district business environment or governmental entity preferred

    4. Superior time management and organizational skills

    5. Ability to work well with others and with minimal supervision

    6. Must be 21 years of age or older upon hire

    Communication Skills

    1. Strong writing, literacy and communication skills; uses effective communication strategies to interact with a variety of audiences

    2. Must possess ability to work cooperatively with parents, students, administrators, faculty, staff and general public

    3. Bilingual communication is beneficial

    Computer/Technology Skills

    1. Must possess a thorough knowledge in the use of office machines, computers, and Microsoft Office

    2. Knowledge of Google Suite

    3. Knowledge of Visions is beneficial
