    POSITION DESCRIPTION: Administrative Assistant I– District
    (Exceptional Student Services)
    Grade: L
    Work Calendar: 12-month (260 Days)
    Hours per Day: 8

    1. General Description:

    To perform a wide variety of clerical and secretarial duties, maintain good public relations, assist site staff, parents and community requesting service regarding Special Education and the program

    II. Qualifications:
    1. Must possess a high school diploma or equivalent, supplemented by appropriate business courses
    2. Must possess a minimum of three years secretarial experience, preferable working in a school district setting
    3. Must possess expert skills in secretarial techniques, office equipment, and computer
    4. Must possess ability us use or learn to use computer programs and Individual Education Plan (IEP) software.
    5. Must possess the ability to work cooperatively with parents, students, staff and general public.
    6. Must possess a loyalty to the school district and its vision
    7. Biliterate/bilingual in Spanish and English, preferred

    III. Duties and Responsibilities:
    1. Maintains punctual and regular attendance
    2. Receives visitors, answers and screens telephone calls and provides information as appropriate explaining general school/district policies and procedures
    3. Provides information concerning programs and procedures to students, parents, and public according to prescribed protocol
    4. Handles a variety of correspondence, reports, and other materials for the administrative office pertaining to parents, students, and staff; performs a variety of clerical duties in providing assistance for administrators and staff members;
    5. Creates/maintains files of Special Education records for each student according to District protocol
    6. Prepares a variety of fiscal and statistical reports as requested
    7. Creates/maintains a database of all Special Education students at each school site and District, with area of disability, and all required demographic information included and prepares reports as required
    8. Creates/maintains a database of all Special Education teachers and paraprofessionals by school site
    9. Calls/researches needed information regarding Special Education students new to district
    10. Prepares district paraprofessional schedule
    11. Schedules trainings and workshops for all new staff – teachers and paraprofessionals
    12. Prepares all information necessary for students housed at New Directions, off-site educational institutions
    13. Maintains data regarding occupational, physical and other therapy and services required by District students
    14. Maintains data regarding students serviced by speech therapy
    15. Maintains quality control of IEP’s at District Office; assures compliance with state and federal regulations
    16. Provides a welcoming atmosphere for students, staff, parents and school issues
    17. Maintains confidentiality of information regarding students, staff, parents and school issues.
    18. Performs all responsibilities in an ethical and professional manner
    19. Performs other related duties as assigned
