    POSITION DESCRIPTION: Administrative Assistant I- District

    Grade: L
    Work Calendar: 12-month (260 days)
    Hours per Day: 8


    I. General Description:

    To perform a wide variety of clerical and secretarial duties and to maintain good public relations with
    students, parents, staff, and the general public.

    II. Qualifications:
    1. Must possess a high school diploma or equivalent, supplemented by appropriate business courses and/or workshops to enhance skills.
    2. Must possess expert skills in secretarial techniques and keep abreast of current trends in correspondence, word usage, and punctuation.
    3. Must complete a series of secretarial tests with a high degree of proficiency.
    4. Must possess a thorough knowledge in the use of office machines, computers, and Microsoft Office Publications (Word, Access, Excel, PowerPoint).
    5. Must possess a minimum of five years secretarial experience, preferably working in a school district setting.
    6. Must possess a loyalty to the school district and its philosophy.
    7. Must possess an ability to deal effectively with matters of confidentiality.
    8. Must possess a pleasant personality and telephone manner.
    9. Must possess an ability to work cooperatively with the general public.
    10. May be required to travel to perform work functions and work outside of normal working hours.
    11. Must have ability to use or to learn to use student information system software as well as other software necessary to AIMS testing, benchmark testing, and End of Course Assessments, as well as state and federal reporting.

      III. Duties and Responsibilities
    1. Maintains punctual and regular attendance.
    2. Handles a variety of correspondence, reports, and other materials for the administrative office pertaining to parents, students, and staff; maintains confidentiality of information.
    3. Maintains appropriate files as required.
    4. Performs a variety of clerical duties in providing assistance to the Director of Curriculum, Instruction & Assessment.
    5. Orders necessary supplies and inputs purchase requisitions for Curriculum, Instruction & Assessment.
    6. Prepares a variety of fiscal and statistical reports.
    7. Handles routine correspondence.
    8. Formats the District’s course description books, CRT Tests, course selection sheets, 8th grade registration materials, etc.
    9. Participates in local meetings or workshops at ADE when requested by Director of CIA.
    10. Creates reports and tracks students regarding programs, testing, etc.
    11. Generates statistical charts/graphs for various state reports, and for use by site principals and District Office.
    12. Maintains confidentiality of information regarding students, staff, parents and school issues.
    13. Provides a welcoming atmosphere for students, staff, parents and community.
    14. Performs responsibilities in an ethical and professional manner.
    15. Performs other related duties as assigned.
